Audit the path every inquiry takes, from the first reply to the first package and on to renewal, whether it came from an ad, Instagram, or Google. Use the first two sections for a short weekly check and the whole list once a month.
First reply and ownership
- Every channel (WhatsApp, Instagram DM, form, phone, Google profile messages) has an owner, and who checks it at which hours is written in a sheet.
- A first-reply target for business hours is written down (for example, 30 minutes) and measured weekly from WhatsApp Business stats or CRM timestamps.
- The after-hours auto-reply gives a callback time and tells people to see a doctor or call 112 for an urgent health problem.

First message from an adHi {FIRST_NAME}, thank you for writing to {PRACTICE}. I'm {DIETITIAN}. We start with a short intro session: we talk through your daily routine and expectations and see together whether we're a fit. Two quick questions: 1. Would you prefer to meet online or in person? 2. Which days and times work for you? No need to write any weight or lab information.
